Our company is entirely virtual, offering you wide latitude and flexibility in your schedule (and you can work in PJs or faded jeans most days).

Decision Toolbox is an unconventional recruiting company with a single focus: doing recruitment exceptionally well. Since 1992, we've recruited for more than 15,000 positions across 2,500+ titles nationwide, filling positions for a typical cost per hire of 5% to 10% of salary. Our unique culture combines a high degree of creativity and support as well as frequent high-fives. These are some of the many reasons we earned the Alfred P Sloan Award for Business Excellence in Workplace Flexibility, as voted by employees, in 2009, 2011 and 2012.  Decision Toolbox made the 2013 Inc. 500|5000 list of the fastest-growing private companies in America.

Impact Profile

To meet the basic qualifications for this role you will have recruiting experience. To be a good fit you also should have:
  • Proven project management skills OR experience with quality assurance in a service organization; the ideal candidate will have both.

    • Partner with clients to turn negative situations around.
    • Interact effectively with internal and external clients.
    • Work through difficult conversations with a solutions orientation.

  • Strong technical aptitude, including:
    • The ability to learn and leverage systems and tools quickly.
    • Advanced skills in MS Excel, including pivot tables, formulas, analysis and charts. Quick question for you - click here
  • A bachelor's degree.
Just as important as your experience and skills will be the following characteristics and competencies:
  • Extreme organization skills (if "organizing" were an X Games event, you would have a gold medal).
  • Creative problem solving skills and a solutions orientation.
  • An eye for quality.
  • A demonstrated ability to run meetings effectively.
  • Polished and professional oral and written communication skills.
Preferred but not required:
  • Experience with RPO.
  • Professional certification such as PMP or Six Sigma methodology.
  • Experience monitoring, evaluating, investigating and/or auditing quality.
In addition, you will need a home or other office space that is quiet and conducive to holding professional phone conversations with clients. You also will need to be willing and able to travel, although we don't anticipate you will travel more than about 15% of the time -- maybe less.

Role Insight

You will report to the Director of Recruitment Quality and Training, although in our culture that means the Director will be a resource for you. We've created this role as part of our Quality program. We currently have Recruiters, who are also serving as project managers for some of our RPO clients. While this has been effective, we believe a dedicated Project Manager can provide the focus necessary to define the role and establish best practices.

Your portfolio will include multiple clients, typically those with at least ten active searches under way. Your main accountabilities will fall into three main areas, but they're not really separate: your efforts in one area will feed and influence the other areas.

Driving quality will be at the core of your mission, as you help ensure we meet client expectations on every search. Of course filling a position is one of the important expectations, but there are many others; in fact, you will help ensure client satisfaction even when we don't fill a position. Quick question for you - click here

Each client is different, and so are their expectations. For some it's candidate volume or market intel that's most important, while others value process, such as regular communication or incorporating third party assessments. Leveraging your understanding of each client's key expectations, you will ensure we have metrics in place to measure performance to expectations. You'll monitor these metrics regularly. When you see a problem, you'll pull together the appropriate DT resources and create options. You'll present those options to the client, negotiate to a solution, and implement the solution.

The more proactive you can be, the better. Maybe the metrics are trending the wrong direction, even though they're not yet "in the red." We'll look to you to approach the client and "hang in the negative." That is, you might say, "We're not happy with our performance in this area. What can we do collectively to improve?"

You also will follow up on quality surveys that don't quite meet our expectations, and work to ensure more surveys are completed and returned -- there's quality gold in those surveys!

In this and all areas you will maintain strong lines of communication to all stakeholders and key influencers. On the client side that will include both human resources and hiring managers, and on the DT side it will include the leadership team, Recruitment Partners, Business Development and possibly others.

Coaching to the numbers. Our Recruitment Partners are seasoned, well trained and highly accomplished. They are also grateful for any help they can get on challenging searches! As you monitor the metrics, you might reach out to the Recruitment Partner (RP) on a project, or she/he might reach out to you. Either way, your goal will be to work alongside the RP and guide them in exceeding expectations. This may include fun and interesting activities like brainstorming new approaches, or it may involve more challenging conversations about changing habits or adopting tactics that are unfamiliar.

As in other areas you'll work with the numbers to track improvements. At the same time, it's worth noting at this point that we completely understand that numbers don't tell the whole story! Your challenge will be to influence and motivate people, internally and externally, so that the numbers reflect our commitment to fill our positions.

Building relationships with clients will help you achieve your goals and also help ensure that they continue to partner with Decision Toolbox for years to come. In most cases your main points of contact will be in talent acquisition/human resources, but you'll also interact with hiring managers and possibly people from other areas.

This will assist you in being a "client thermometer," complementing your analyses to recognize when something is not quite right. It will also pave the way for collaborative solutions, and even make those difficult conversations a little easier.

Note: this description is intended to give you a general overview of the position and is not an exhaustive listing of duties and responsibilities.

Pictured: this isn't a case of fixing something that's broken, as you can see from our client results across 2013. You'll call on all your analytical skills, creativity and experience to make a good thing even better.

More Good Reasons

Tactical and strategic impact -- you'll see the results of your efforts in individual searches and in partnerships with clients. But you also will be a key driver in DT's effort to differentiate itself from competitors. You'll establish best practices in project management that will be adopted by others, and you may act as a mentor in the future. Your analysis will reveal trends specific to clients, but they also may help us identify general changes in the recruiting landscape.

Vibrant, innovative business model -- Decision Toolbox has been challenging the status quo in recruitment since 1992. Today we boast robust technology, a mature creative team, and a compelling track record. Just as importantly, our focus is not on getting a lot of easy money out of our clients, but on building long-term, mutually beneficial partnerships. We've been delivering RPO since before it was an acronym, and we're recognized as a thought leader by organizations such as SHRM, PIHRA, and the NHRA.

Proof in the pudding -- we're thriving, with a nationwide list of clients in just about every industry vertical, including smaller startups as well as major names like Makita USA, Kawasaki Motors and BASF. We've administered over 15,000 client satisfaction surveys over the years, and our median score is 94%. We're confident enough in the quality of our processes that we offer a 12-month candidate warranty, unrivaled in the industry. In 2010 we doubled in size without a sales force because more than 95% of our revenue is repeat business.

Virtual is its own reward -- everyone at DT is virtual and everyone loves it. When our CEO meets with a client, she calls it a "mascara day." Otherwise it's come as you are. In addition to being unrestrained by geography and time, in the virtual model we are able to:
  • Be productive and flexible.
  • Work with diverse cultures, geographies, backgrounds, etc.
  • Learn new technologies AND we provide input on improving those technologies.
Setting you up to be exceptional -- we offer full training through modules that include culture, process, products and our proprietary ATS / CRM. You'll go through a 30-60-90-day certification process to ensure you have what you need to thrive at DT. We've also implemented an internal online university, DTU, to provide on-demand access to resources, including the latest sourcing techniques and trends, best practices, process videos, working referrals, courting candidates and more. You'll be able to take advantage of these resources for your own professional development and to help in driving performance improvement.

Feeling the love -- our clients don't just appreciate us, they love us. Our leadership team doesn't just provide resources, they wrap the love around the DT team (tools, technology, collaboration, etc.). The team doesn't just love working with DT, they wouldn't work anywhere else. In this distinctive culture we get to:
  • Collaborate with inter-organizational teams.
  • Participate in the direction of the company and in decisions.
  • Mentor and be mentored.
  • Continuously develop our professional skills.
  • Learn best practices from best in class people.
  • Work for an incredibly ethical, compassionate, caring company.
  • Share knowledge using a variety of technologies.
Support and resources -- our creative team develops a patented Jobinfo Writeup (you're reading one now) for every opening and implements the broadcast strategy in web media. If ads or the Writeup need tweaking, you'll call on professional writers. To organize your projects and your schedule, you'll have access to the user-friendly Recruiting Machine, our in-house web-based ATS/CRM/ERP. Our Recruitment Partners are backed by a Sourcing Team of professionals trained in scouring the Internet and social media for candidates. DT's IT team is second to none in developing customized solutions for clients.

Diversity -- we do not specialize, so you'll have the opportunity to work with clients from a broad array of industries, from tech to healthcare to manufacturing. You'll support searches for positions ranging from Programmers and Customer Service Associates to Executive VPs and CFOs . . . and everything in between!

Excellent compensation -- in addition to a competitive salary and performance-based bonus plan, we offer:
  • Health, dental and life insurance to all employees. Decision Toolbox contributes a portion for full-time employees (30+ hours per week is considered full-time).
  • Paid time off (PTO); if you're classified as full time, you will be eligible for five days of PTO.
  • Participation in our 401(k) plan, including employer contribution.
  • A flexible spending account (FSA) program.

Keys to Success

Recruitment, project management, quality . . . you'll further develop and use your expertise in all these areas. But just as important will be your interpersonal skills and emotional intelligence. From the start you should be proactive about establishing credibility with a wide variety of internal and external stakeholders. Clear, concise, frequent and timely communication will be essential. As you create success and navigate conflict, you'll keep in mind the different nuances of interacting with internal and external clients. In all situations you should lead with the end in mind, driving past the challenges to a solution.

"Hanging in the negative" can be challenging, as it can feel like admitting weakness or defeat. However, we don't see it that way at Decision Toolbox. The trick is to have a strong sense of ownership without internalizing the situation.

In using technology you should be proficient as well as fast. If, for example, you need to compare year-over-year results against last month's results, you should be able to find the data and pull up a result in short order. The data and analysis are not the end results, but the tools you'll use.

We're looking for someone with a degree of intuition, who can smell the paint on the walls, and listen for what's not being said. You'll confirm your intuitions by probing further and running analyses, of course, but the point is that you bring the issue to out team's attention sooner rather than later. As you respond to issues you should be prepared to bring all of DT's resources to bear -- help us use our expertise, creativity and tools to help you create success.

Working virtually isn't for everybody. With independence and flexibility comes responsibility. Frankly, we are picky about bringing on people who are tenacious, resourceful, highly motivated independent thinkers who regularly go "above and beyond" the call of duty. Those who succeed at DT have a strong sense of ownership and are exceptional time managers and multi-taskers, able to juggle multiple projects, in varying stages of completion, to favorable results on a daily basis.

About Decision Toolbox

At Decision Toolbox, almost everything about our approach to recruitment is unique, from our tools to our low cost pricing model to our relationships with our clients. Some companies enlist our help for the occasional overflow or difficult-to-fill opening. Others use us as their extended recruiting department on an ongoing basis. In any case, we are not about simply filling positions; rather, we become our client's recruitment partner, and work proactively to drive down costs, identify and solve business problems, and increase retention. Each project concludes with a Hiring Manager satisfaction survey, in which our performance is rated on 11 fronts. This gives us a basis on which to continually improve our service. Since 2000, our cumulative satisfaction score is 94.2%, and repeat business represents over 95% of our revenue.

Our process is known as "Recruitment Engineering", and we are not only the industry pioneers in this space, but we are also recognized as the industry experts.

We've been fine-tuning Recruitment Engineering since our founding in 1992; however, the common thread that remains is our commitment to "doing the right thing" for our clients. We have established and maintained a reputation for fair and honest business practices within our industry. Because of our unique model, our recruiters (particularly those from contingency and/or agency backgrounds) are often surprised by the level of partnership they share with their hiring managers, and the empowerment they have to act as an expert recruitment "consultant" on every project.

Even in a virtual model, DT has nurtured a remarkable corporate culture that is entrepreneurial, high-energy, success oriented and fun. Our people all have a high degree of professionalism, led by a progressive management team. Our CEO, Kim Shepherd, is a well-respected speaker and presenter, and recently published her insights on leadership success in The Bite Me School of Management: Taking a Bite out of Conventional Thinking. The title alone gives you an inkling of our culture!
